NNCW: How do I import students into the school?

You can import a list of external student information into the roster instead of creating students manually. The instructions for how to import students is below, but first review the following best practices:

Best practices for importing students:

  • Use the Excel template provided in the application. Add students to this template and save it for review after importing.
  • To avoid duplications in the organization, imports should be done by an Administrator at the school organization level instead of at the class or course level.
  • Be sure to click the import action only once, and then wait for the platform to process the import and provide feedback. Clicking the action button multiple times will cause duplications in the organization.
  • After importing, enter the View Registration Queue and look for any errors. It is always best to review the list of successfully imported users and compare it to your original import document.
  • Always include the following fields in each row: first name, last name, username, and password.
  • Usernames must be unique within the NovaNET Courseware system. Best practice is to include the school name or initials in the username, to keep this field unique and easy to identify. If a username already exists in the NovaNET Courseware system, the username will be modified to force it into a unique value and a report of any changes will be provided. You can manually modify these changes as long as the username changes remain unique.

To create the student import template:

  1. Log in as an Administrator and enter the school level.
  2. Click the Users tab. Under the Users area on the left, click Create Users, and then select Import Users from File.
  3. In the Import Users window, select the Download the Excel Multiple Users File and then click Save to save the BulkUser_Template.xls template to your desktop or alternate location.

Now that you have the template, you can enter the student information to import into the appropriate columns. The column headers of this template cannot be changed.

Additionally, many columns require specific data. These columns have a form drop-down list, displaying the only acceptable data for the columns. The FirstName and LastName are required fields and you cannot import the file without data in each of these rows.

Follow the best practice to also include a unique username and password for each user imported. If you intend to run school level reports by student demographic information, all columns in the user profile should be completed. When all of the profile information is complete, save the changes.

To import the students into the school:

  1. As an Administrator, enter the school level.
  2. Click the Users tab. Under the Users area on the left, click Create Users, and then select Import Users from File.
  3. In the Import Users window, click Browse, find the template you saved above, and then click Open.
  4. To import this file of users into the school, click Save and Return. Do not click this multiple times, as that will cause duplications in the import.
  5. A confirmation pop-up window will appear to confirm the import action. Click OK.
  6. The import users window will have a gray overlay and the message,"Please wait we are processing your request.." appears during the first part of the import process.
  7. At this point, your import has been received and goes into a queue within the platform, which includes multiple customers. In the Users tab, a new notification line appears, stating Bulk Registration - 1 of 1 Files in progress View Registration Queue. This indicates that the import has been received and is in the process of being imported into your organization, according to it's order in the queue. When this process is complete, the count will change to 0 of 1 Files in progress, indicating that you no longer have any files "in progress" and it is now ready to view in the registration queue.
  8. Click View Registration Queue to open the Bulk Registration - File Upload Queue that lists all files that have been imported into the organization from this location. An icon next to each file indicates whether the upload is complete or in progress. To view the specific details, click View Exceptions and Print.
  9. The Bulk User Validation window opens. The information here is important and should be compared against your original file. If any errors or possible duplications appear, these user accounts will need to be manually edited. You can export a report of the possible duplicate users, users with errors, and successfully created users.

The administrator has 14 days to view the confirmation reports of the imported students.  For security reasons, this information is removed 14 days after first import date.
